What Is AI Email Parsing?
Email parsing is the process of extracting specific structured data from email messages. Traditional rule-based parsers use rigid templates and regular expressions — they work when email format is perfectly consistent but break immediately when format varies. AI-based parsing uses machine learning models that understand the meaning of a message rather than just its format. An AI parser can extract an order number whether it appears in a table, a sentence, a subject line, or an attached PDF — because it understands what an order number is, not just what pattern to match.
Built on Local LLMs — Not Cloud AI
Infinity Data Center's parsing service runs on locally hosted large language models inside our Knoxville data center facilities. Your inbound business email — which may contain sensitive pricing, customer data, financial figures, or proprietary operational information — is never sent to OpenAI, Google, Anthropic, or any other third-party cloud AI provider. The models run on Infinity Data Center's own hardware, and your data stays within the processing environment you control.

How It Works: The Processing Pipeline
Inbound email is routed to the parsing infrastructure via MX configuration or BCC routing from your primary mail system. Each message passes through a multi-stage pipeline:
- Classification: The model identifies the message type — purchase order, invoice, support request, shipping notification, lead submission — and selects the appropriate extraction schema.
- Extraction: The model pulls the relevant data fields for that message type — order numbers, amounts, dates, contact details, SKUs, reference numbers, and any custom fields defined for your business.
- Normalization: Extracted data is standardized — dates to ISO format, currency to numeric values, addresses to structured components — so downstream systems receive clean, consistent input.
- Confidence scoring: Each extraction is scored. High-confidence extractions route automatically. Low-confidence extractions are flagged for human review — preventing bad data from entering your systems silently.
- Delivery: Extracted data is delivered to your systems via webhook, API, email notification, or direct integration through n8n.
